A department head may request the appointment a qualified regular employee (excluding non-regular employees, such as probationary and temporary employees, or student workers) in good standing and not currently involved in any disciplinary processes.
 

The department head should consider the conditions listed below and follow the guideline s also listed below to initiate the special duty assignment before announcing the change to the employee.   

Conditions of Special Assignment

  • The employee's special assignment does not, in any way, guarantee the special duty assignment to the employee on a regular basis.
  • The special assignment does not confer any explicit preference to the employee in competing for the position, if and when a regular opening occurs.
  • A special assignment must last a minimum of 30 days, but no longer than one year.
  • An employee on special assignment does not serve a probationary period, but may be returned to his/her regular assignment at any time.
  • A Classified Staff employee who has been specially assigned to a Service Professional position is not eligible for Service Professional benefit options.

Guidelines for Determining the Rate of Pay for Special Assignments

An employee who is approved for special duty assignment may receive a salary increase to an approved rate, appropriate for the classification of the assigned position.

When a special assignment ends, the regular employee returns to his/her former position, pay grade, and salary rate.  The employee should receive any salary increases (merit increases, general adjustments, etc.) for which the employee became eligible for while on special assignment.  These increases, if applicable, will be based on the previous salary.

Special Assignment Process

  1. Complete the Special Duty Assignment Request Form  and submit it to the Human Resources Department along with the special assignment working job description and completed Personnel Action Request (PAR) form with signatures through the VP/Provost prior to the effective date of the assignment.  Indicate an ending date of no longer than 1 year on the PAR form.  You can access information about the Classified Staff Position Classifications and Pay Ranges to assist you in completing the Request Form.
     
  2. The Human Resources Department will review the request and either concur with your request or recommend an appropriate title and salary based upon the information provided by the supervisor.
     
  3. Once approved, supervisor will be contacted by Human Resources, and the Special Duty Assignment Notification Form and job description should be shared with and signed by the employee prior to the start of the assignment.
  4. The supervisor should then forward the signed original Special Duty Assignment Notification Form to Human Resources to avoid delaying the payment of the special assignment rate to the employee.

Interim Appointments

Service Professionals, Academic Professionals, and Administrative Staff may be asked to serve in an interim appointment capacity.  This is most commonly used to continue operations when a critical position vacancy occurs. 

Interim appointments and related conditions (salary, title, length of appointment, conditions of appointment, etc.) are subject to the approval of the President, Provost or Vice President.  Interim appointments are submitted on a PAR form.
