Policy 4.02
Eligibility
Regular employees working 20 hours per week or more for a continuous period of six months or longer are eligible to accrue and use paid vacation.
Faculty, regular part-time employees working fewer than 20 hours per week and temporary employees are not eligible for paid vacation.
Vacation Accruals
Classified
- 1-2 years continuous service: 11 days per year (3.372 hrs per pay period)
- 3-4 years continuous service: 16 days per year (4.904 hrs per pay period)
- 4 + years continuous service: 22 days per year (6.744 hrs per pay period)
Service Professional/Appointed
- Earn vacation at 22 days per year (6.744 hrs per pay period)
Employees who work 20 hours or more, but less than 40 hours per week (.50 to .99 FTE) earn vacation time at a prorated amount based on the hours worked.
Don't Lose Vacation Time
NAU employees should take a moment to view their vacation accrual balances and plan for year end. Employees who accrue vacation days can carry forward one and one-half times their annual accrual rate into the next calendar year. Anything over that amount is lost at the end of the pay period that includes January 1, 2010 (the paycheck of January 15, 2010).

If you earn vacation at 22 days per year (6.7 hours per pay period), you can carry forward 264 hrs.

If you earn vacation at 16 days per year (4.9 hours per pay period), you can carry forward 192 hrs.

If you earn vacation at 11 days per year (3.4 hours per pay period), you can carry forward 132 hrs.
(These maximum amounts are prorated for employees who work between 20 and 39 hours a week.)
To determine if you might lose vacation hours:

Check your vacation balance now by logging into LOUIE at peoplesoft.nau.edu. On the Self Service tab select Payroll and Compensation > View Leave Balances.

Calculate the accrual amount you will earn between now and the end of the year (your per pay period accrual rate multiplied by the number of pay periods between now and December 31, 2009).

Add this amount to the vacation balance you have. If the total is greater than the maximum hours you can carry forward, plan to use enough vacation days to bring your balance below your maximum amount.

Excess vacation hours will be forfeited in the pay period that contains January 1 (paycheck of January 15, 2010).

Remember to get supervisor approval for all vacation time requests.
Please check with your department payroll timekeeper if you have a question or concern about your vacation balance.
Scheduling and Using Vacation Time
An employee must request approval from their department head to use vacation time in advance of taking the time off. While vacation will be granted, whenever possible, to satisfy individual requests, continuity of operations must be maintained. Consequently, vacation must be scheduled in accordance with the requirements of the University for the employee's services.
To request approval to use vacation time, an employee must complete a Record of Absence (ROA) form and submit it to his/her appropriate department head/supervisor in sufficient time for proper action.
Accrued Vacation Time Upon Termination
Upon termination or retirement from employment at NAU, employees will be paid up to one year of accrued vacation time.
Maximum accrued vacation payouts will be prorated for employees who work 20 hours or more, but less than 40 hours per week (.50 to .99 FTE).
