Mandatory furloughs begin on July 1, 2009. Here are the top four things you need to keep in mind:
1. You need to communicate with your supervisor about when you would like to take furlough time. Like vacation time, furlough time will be approved by the supervisor. Create a plan that takes into account your role, your department’s peaks and valleys, and your preferences.
2. There are many different ways you can consider taking your furlough. You can take an hour a pay period in order to minimize the financial impact, take an afternoon or day off here and there throughout the year, or add furlough days onto vacation time. You can take furlough on any regular work day, a holiday, a winter closure day, or on a snow closure day. You may want to take days in July and December when we have a three paycheck month.
3. Beginning July 17, you’ll be able to see the total amount of furlough you are required to take in LOUIE. When you are going to take furlough time, you’ll complete a record of absence form (sample ROA) and submit to your supervisor. Timekeepers will enter the time in the system and it will be deducted from your total. Once it’s processed, you’ll see the furlough balance remaining when you log in to LOUIE > Self Service > Payroll and Compensation > View Leave Balances.
4. Because President Haeger is still hopeful that the number of required days may be reduced, the total number is not yet final (but won’t be more than the two or seven days). Furlough time taken in excess of the required amount of days can’t be ‘paid back’. So until the number of days is finally determined, we recommend that employees in the seven day category not take more than a day or two and employees in the two day category not take any time yet. The university community will be notified as soon as a decision is made.
