Scheduling Furlough Time

When to take furlough:

  • All required furlough time must be taken between July 1, 2009 and June 30, 2010.
  • Employees and supervisors should talk about when furlough time will be taken and should balance employee needs with department needs.

Taking Furlough Time

Ways to take furlough time (with supervisor approval):

  • In increments of one hour or more per day
  • On any regularly scheduled work day
  • On a university holiday (which then becomes unpaid)
  • On a winter break closure day
  • On an emergency closure day (for example, a snow closure – if you didn’t work, ask your supervisor if you can switch it to a furlough day)

The impact on your pay:

  • Your check will be reduced in the pay period in which you take furlough. For example, if you take four hours of furlough, your check will be reduced by four hours worth of pay. (Use our salary impact estimator to get an idea of how much that would be.)
  • Consider taking furlough just an hour or so a pay period; or take furlough in a three paycheck month (July or December 2009).

Things you can’t do:

  • Work while on furlough time
  • Work additional time in the same week to make up for furlough time
  • Close departments/cancel classes
  • Reduce your FTE or salary to minimize furlough impact

Tracking Furlough Time

Use a record of absence (ROA) form:

  • By July 1 the required furlough hours will be displayed for each employee in LOUIE where vacation and sick hours are tracked. (LOUIE > Self Service > Pay and Compensation > View Leave Balances)
  • Employees will fill out a record of absence form (sample ROA) to record furlough hours taken in a pay period.
  • To make sure the money comes out during the expected pay period, employees and supervisors will need to turn in the ROA to timekeepers in a timely manner. Know the deadlines!
  • Once your ROA is processed, you’ll be able to see your new furlough balance (what you have left to take before June 30, 2010) on the next payday.
